Job Overview :
The Senior Recruiting Ops Specialist serves as a strategic partner to the Talent community, driving scalability and operational excellence by simplifying hiring processes and optimizing recruitment systems.
By designing compliant practices, managing complex cross-functional projects, and fostering innovation, this role ensures a seamless candidate experience while maintaining high standards of data integrity and governance, ultimately serving as an essential engine for the Talent team's success
Key Responsibilities
Manage end-to-end Offer Management and Pre-Onboarding activities, including offer creation, approvals, pre-employment screening (PES), onboarding readiness, and ensuring a seamless candidate experience.Partner closely with Recruiters, Hiring Managers, HR Business Partners, HR Operations, candidates, external vendors, and global teams to ensure timely, accurate, and compliant hiring processes.Act as the subject matter expert (SME) for TA systems and processes, ensuring the smooth day-to-day operation of recruitment systems, providing system support, resolving system issues, maintaining data quality, and supporting users with system-related queries.Lead and support recruitment systems and process improvements, including change requests, system enhancements, automation initiatives, testing, and transformation projects in collaboration with global teams.Own vendor relationships and service delivery, ensuring effective partnership management, SLA adherence, issue resolution, and continuous improvement.Support executive and complex hiring activities, including coordination for Executive hiring and other business-critical recruitment processes.Develop, maintain, and communicate recruitment processes, policies, playbooks, and system updates, while driving standardization through training, knowledge sharing, and best practices across the TA community.Own operational reporting and dashboarding, delivering accurate recruitment metrics, insights, and data analytics to support business decisions, operational reviews, and leadership reporting.
Drive audits, compliance, and governance activities by performing regular quality checks, ensuring adherence to company policies, regulatory requirements, data integrity standards, and recruitment controls, while identifying and mitigating operational risks.
Drive operational excellence by identifying opportunities for process optimization, innovation, automation, and improved stakeholder and candidate experience.Provide regular operational updates and stakeholder communications, ensuring hiring teams, HR Ops, and other business partners are informed of key activities such as onboarding readiness, system updates, and process changes.
Requirements
Bachelor's degree with 5+ years of experience in Recruitment Operations Strong knowledge of recruitment processes, policies, guidelines and regulations, with hands-on experience using Applicant Tracking Systems (ATS) such as Workday, iCIMS, or similar platforms.Demonstrated expertise in Recruitment Systems and Talent Operations, with the ability to manage system enhancements, troubleshoot issues, and understand the impact of changes across end-to-end recruitment processes.Strong project management and problem-solving skills, with the ability to independently manage multiple priorities, lead projects, and deliver results within defined timelines.Excellent communication and stakeholder management skills, with the ability to influence cross-functional teams, draft communications, deliver training, and effectively collaborate with business leaders, technical teams, and external vendors.Ability to simplify complex technical concepts, translating business requirements into system solutions and technical information into user-friendly guidance.Experience driving process improvements, automation, and operational excellence, with agility, and continuous improvement methodologies.
Ability to coach and mentor team members, sharing knowledge and promoting best practices across the TA function.Proficiency in Google Workspace (Docs, Sheets, Slides), with strong reporting, dashboarding, data analytics, and presentation skills.
Experience with reporting and visualization tools e.g Tableau, Power BI, Looker Studio is an advantage
